Update re: Host Hotel Snafu

  • Embassy Suites took back 25 rooms due to construction.
  • The board decided to split the group in two, moving the last who registered to the Hilton University about 8 miles away in Charlotte. Registration fee is the same.
  • If you are in the group to be moved, the Embassy Suites will cancel your reservation (and they will send you confirmation of that). But they cannot rebook people. We’ll send specific details to people affected by this in a day or so.

Here are the answers to some frequently asked questions about the changes to the event.

We separated the list of registrations based on your registration date. That is: the last people to register at the hotel were moved to the Hilton.

You will get a confirmation of the cancelation of your Embassy Suites reservation from them.

The Embassy Suites will notify your directly if your reservation is cancelled.

Unfortunately they cannot transfer the reservations on en masse to the Hilton, So you will have to call and make a new reservation.

As soon as we have that information, we'll post it on the United Hotel page. And if you are one of the people affected by the change of plans, you'll get an email directly to you.

 

Event registration, parts room, hospitality, and the banquet will remain at the Embassy Suites.

You can look over the Embassy Suites layout here.  It includes descriptions of locations as we know them today (June 24, 2025)  At this time all we can say is there will be signage on site to direct you.

In addition to the construction on four floors of guest rooms of the Embassy Suites, the main entrance and the Atrium (where our Friday night reception was to be) will also be under construction and closed to the public. The reception desk will be moved. Hotel signage will have to point us in the right direction.
But the parts room, hospitality, and the banquet will remain at their planned location.

Trailers may be parked at either the Embassy Suites Charlotte-Concord or the Hilton Charlotte University Place. HOWEVER!  parking at the Hilton is limited. So we recommend trailers be parked at Embassy Suites.

Breakfast will be served at the Embassy Suites.  Attendees staying at the Hilton will get vouchers for breakfast at United registration.

Each attendee will get tickets for two free drinks with your United registration bag .

We got word late in the process that the Charlotte Motor Speedway cannot handle a group visit on Sunday. They have booked some drag racing at the zMax speedway and all their people will be over there working that.

If you chose the Speedway as your Sunday activity, you will get a message from Jim Lindner about making a second choice: either the NASCAR Hall of Fame  or the North Carolina Transportation Museum

The Lake Norman option had exceptionally limited number of spots available, and they filled up early in the process.
